How To Set Up and Use Flodesk

Set up and automate branded emails and freebies with Flodesk

Written by Jordan Blake

Flodesk is an all-in-one email marketing platform designed to help creators design, automate, and send professional emails with ease. It’s a perfect tool for Playbook creators who want to deliver lead magnets, nurture their audience, or build lasting customer relationships through email marketing.

You can use Flodesk to send freebies, welcome new leads, and automate communication — all while keeping your emails beautifully branded and on-message.

Getting Started

To get started, visit flodesk.com and create an account. If you have a referral link, use it to receive 50% off your first year.

When setting up your account, follow the prompts to create your profile and choose Email as your focus. Enter your full name and a domain-based email address (for example, [email protected]) to improve deliverability. Set your time zone and customize your Flodesk handle to match your brand.

Your branding should stay consistent across Playbook, your website, and your emails. Inside Flodesk, upload your logo, add brand colors (up to 10 hex codes), select custom fonts, and include your company address and social media links. These details automatically apply to all future emails and help maintain cohesive branding across channels.

Building Your Email List With Forms

Flodesk offers easy-to-use, on-brand sign-up forms that help you collect subscribers, deliver freebies, or segment your audience. You can create inline forms for embedding on websites, pop-ups for higher visibility, or standalone pages like Flodesk’s “Link in Bio” form for mobile-friendly sharing.

To create your first form:

  • Go to the Forms tab.

  • Click + New Form.

  • Choose your format (inline, popup, full page, or link-in-bio).

  • Pick a template that fits your branding.

  • Add a headline, description, and any fields you need (e.g., name, email).

  • Connect the form to a segment (for example, “Freebie Leads” or “Newsletter”).

  • Save and share your form link or embed code.

Flodesk’s built-in templates allow for custom layouts, videos, and countdowns, so you can make your sign-up experience visually engaging.

Managing Subscribers and Segments

Your email list is your most valuable marketing asset — unlike social media followers, it’s something you truly own. Segments allow you to organize subscribers based on behavior, opt-ins, or purchase history, helping you send targeted and relevant messages.

To upload and organize subscribers:

  • Go to the Audience tab.

  • Upload your contacts manually or import from a CSV file.

  • Add each contact to a segment (like “Newsletter,” “Free Trial,” or “Challenge Leads”).

To create a new segment:

  • Go to Segments.

  • Click + New Segment.

  • Name it, assign a color, and add subscribers manually or through forms.

Regular list maintenance ensures healthy deliverability. Remove bounced or unsubscribed emails each month, and send a re-engagement email to inactive contacts every six months. If they don’t engage, remove them to maintain quality scores and inbox placement.

Designing and Sending Emails

Flodesk makes it easy to create stunning emails without coding. You can start from a blank layout or use one of Flodesk’s professionally designed templates optimized for mobile.

To create a new email:

  • Go to the Emails tab.

  • Click + New Email.

  • Choose a template or start from scratch.

  • Customize your text, layout, colors, and images.

  • Name your email for internal organization (e.g., “Welcome Email 1” or “Launch Promo”).

  • Preview your design in desktop and mobile view.

  • Send immediately or schedule for later delivery.

When designing, keep your message clear and simple with one main call-to-action per email. Use high-quality JPEG or PNG images, keep text short, and ensure your content looks good on both mobile and desktop

Automations and Workflows

Workflows automate your emails so that your audience receives messages at exactly the right time — like when they download a freebie, sign up for your newsletter, or cancel a subscription. This is where Flodesk saves time and scales your marketing effortlessly.

To create a workflow:

  • Go to the Workflows tab.

  • Click + New Workflow and give it a name.

  • Choose a trigger such as:

    • Form submitted

    • Segment added

    • Date, time, or subscriber behavior

  • Add one or more emails to your workflow and set timing delays between them.

  • Review and activate the workflow.

Common workflow examples include:

  • Freebie Delivery: Sends your PDF or guide when a form is submitted.

  • Welcome Series: Introduces you and your programs across 3–5 emails.

  • Sales Funnel: Follows up on launches or promotions.

  • Win-Back Sequence: Re-engages former customers 30–60 days after cancellation.

  • Upgrade Sequence: Encourages users to move from free to paid tiers.

These automations build trust, deliver consistent communication, and nurture leads into paying customers

Analytics and Optimization

Flodesk provides detailed analytics to help you measure how your audience interacts with your content. You can view performance data for individual emails, workflows, forms, and subscribers.

Strong benchmarks include open rates between 30–50%, click rates of 2–5%, and unsubscribe rates below 0.5%. If performance dips, review your subject lines — the best ones are short, clear, and actionable. Focus on one strong call-to-action per email and maintain list hygiene to keep deliverability high.

You can also resend an email to unopened subscribers directly from your email’s performance page to improve results.

Integrating Flodesk With Playbook

Flodesk can connect to your Playbook CRM using Zapier. This allows you to automatically move new subscribers or customers into Flodesk segments and trigger workflows based on actions they take in Playbook.

For example, when someone downloads your freebie through Playbook, Flodesk can automatically send them a welcome email or nurture sequence. Likewise, when someone cancels a program, they can be tagged in a “Win-Back” segment to receive a re-engagement offer later.

Advanced Features and FAQs

Flodesk also includes advanced features to help you customize your emails and marketing process. You can connect Instagram under Account → Integrations to automatically pull in your latest posts. Use the Flodesk Link-in-Bio page to add links, forms, and opt-ins to your Instagram profile.

You can also:

  • Save your favorite content blocks for future emails.

  • Preview emails on mobile or desktop before sending.

  • Access detailed analytics for every email, workflow, and segment.

  • Resend unopened emails to maximize engagement.

Flodesk offers one flat monthly rate for unlimited emails and subscribers. A free 14-day trial is available — no credit card required

Best Practices

To get the most from Flodesk, keep your email designs clean, mobile-friendly, and consistent with your brand identity. Use a single call-to-action in each message, maintain strong visuals, and avoid long blocks of text.

Clean your list regularly, test subject lines often, and analyze your results to understand what resonates most with your audience. Treat every email as part of a larger experience that nurtures, educates, and converts your followers into loyal customers.
